CIM Data Protection Declaration on E-Recruitment

Thank you for visiting our applications portal. The Centre for International Migration and Development (CIM) is jointly run by the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH and the German Federal Employment Agency. CIM is committed to protecting your personal data, which is why we would like to inform you about our data protection principles. In accepting this data protection declaration for our e-recruitment system ‘BeeSite Recruiting Edition’, you consent to CIM storing and processing your data as part of the applications process. The corresponding procedures and conditions are explained below.

How we collect your data

When you register in our applications portal, you automatically create an account. This account serves as the basis for processing your data. You are asked to provide specific details about yourself; at a minimum, this includes your family name and given name, data of birth and email address. CIM will use this and any further personal information you provide for recruitment purposes only. Of course, we will process your data in accordance with applicable statutory data protection requirements.

How we use your data

Once your application has been completed, your data and uploaded documents will be made available to CIM’s Human Resources Departments, the unit issuing the recruitment request. Following our selection processes, we will then decide whether you will be considered for further recruitment steps. If you have applied for several positions at the same time, the different HR divisions will become aware of all your parallel applications, as will GIZ’s HR divisions. This is designed to ensure that applications are processed efficiently.

In consenting to your data being stored and processed, you also give your approval for this information to be passed on to other persons involved in the selection procedure, including the ordering employer and responsible persons in GIZ offices.

In addition, it is possible that our software manufacturer Milch und Zucker Talent Acquisition & Talent Management Company AG, which is also responsible for maintaining the systems, may be granted access to your data if necessary. The software manufacturer has signed a third-party data processing agreement, insuring your data is handled confidentially. Apart from the aforementioned organizations involved in the selection process, CIM will not pass your personal data on to any third parties unless it is compelled by law to do so (e.g. by law enforcement agencies).

How we store and delete your data

The information you provide and the documents you upload as part of the online application will be stored for six months commencing after completion of the applications process. Your uploaded documents will then be automatically deleted and your data converted into an anonymised data record. This record will be used solely for the purposes of statistical analysis and will contain no identifying information relating to your person.

Talent pool

Your data may be stored in a talent pool for up to another six months after the applications process has been concluded. We use this pool to stay in contact with you and allowing you to be considered for future positions. GIZ HR divisions also have access to this talent pool. Your personal data will only be recorded in the talent pool if you provide your explicit consent after receiving a corresponding email from us. Your consent is then valid for a period of six months. If you would like your application data to continue being stored in the talent pool after this period, then you must provide your consent once again after receiving another email from us. If you do not provide your consent or do not reply to the email, your uploaded documents will be deleted automatically and your data converted into an anonymised record.

IT security for your data

Protecting your personal data is especially important to us. Accordingly, we use technical and organizational security measures to ensure that your data is protected against intentional and unintentional manipulation, deletion and unauthorized access. These measures are updated in line with technological developments and adjusted on an ongoing basis to account for risks. The servers containing your data are stored are managed by Telehouse Deutschland GmbH and InterXion Deutschland GmbH at data centers in Frankfurt am Main.

Your rights

You have the right to view, update or delete your user account and the information contained therein online at any time. Please note that any changes you make to your profile may have an impact on all applications linked to that profile. You can request the correction, deletion and blocking of personal data from CIM/GIZ at any time. Furthermore, you are always entitled to request disclosure of the data stored about your person by CIM/GIZ. 

Moreover, you can make use of your right of objection at any time without stating reasons and modify or revoke, with effect for the future, the declaration of consent that you may have given. This will delete any uploaded documents and convert your data into an anonymized record. There will be no additional costs besides the postage or the transmission costs according to the existing rates. In addition, any unlawful forms of processing of your personal data entitles you to submit an appeal to the supervisory authority.
